Scenario: You are the intern coordinator for an IT consulting company that specializes in working with entrepreneurial global clients. One of the founding partners is retiring this month. Because he is impressed with the internship program you set up and manage, at the retirement dinner he plans to present you with a $50,000 check to convert his 15 x 15-foot office into a space for the interns. You may decide how to use this space (ex. computer center, conference room, kitchen, entertainment center, etc.). Choose only one purpose.

John Smith, the founding partner, wants to know your plans. Write a one-two page memo to describe in as specific terms as possible the purpose of the room (first paragraph) as well as every item to be purchased for it and an estimated cost. (ex. drapes, electronic equipment, kitchen supplies, plants – whatever needs to be purchased to set up this new area).

If you don’t spend all the money, you will lose it. However, if you go over the budget, the partner will be offended, so itemize carefully to come close to the $50,000 amount.

Only the partners know about this gift, so you can’t use the purchasing department to research the cost of items. Instead you will use web sites like bestbuy.com, sears.com, apple.com, etc. A bullet point format works well for the items to be purchased:

Blue velvet, three-cushion couch, Macy’s, $2,100.

3-foot cactus plant, English Gardens, $299.

Illustrations:

In addition to the one-two page of words in the memo, include appropriate illustrations (ex. a sketch of what the area will look like, pictures of the planned purchases, etc.). These illustrations may be inserted in the appropriate paragraphs or at the end of the memo.
