Scenario:

Your PM7010 Group has been awarded a service contract by a local travel agent to plan an eight-day/seven-night trip for a group party of 50 people. The destination for the trip could be one of the following:

  • Orlando, Florida
  • Maui, Hawaii
  • Rome, Italy
  • Kiev, Ukraine
  • Location of YOUR choosing!

The trip will be a delivered in phases. Your planning for the project will be based on a work breakdown structure that supports a phased project. Following are the main elements of the work breakdown structure:

1. Publicity                      

2. Itinerary

3. Reservations

4. Registration

5. Travel

6. Project Management

The project is complete once everyone returns from the trip.

The contract terms and conditions require a scope validation meeting be held at each milestone for the project for the customer (travel agent) to accept the work completed and move forward with the next project phase.

Items that have been agreed upon between your group and the travel agent:

The agency assures your group that once the mailing of the brochure is complete, it will take six (6) weeks to fill the trip.

Publicity will be on-going until the registration is complete.

The budget will allow for two people to make a three-day/two-night scouting trip and for two people to make the actual trip with the group.

The agency requires a trifold brochure, which must include current photos of the destination. The brochure will be mailed to the agency's customer base. The budget will allow for a single printing and mailing. Ensure that the brochure will effectively answer any basic questions someone would want to know if they were considering taking the trip.

Your group will make all reservations for transportation, lodging, meals, and attractions.

The travel agency informs your group that you must use the most economical prices available. Therefore, all reservations/confirmations must be made two weeks in advance of the actual date of travel.

The printing and mailing of 5,000 brochures will take five working days.

The contract was awarded on June 1st, 20xx. Travel begins 60 days after contract award. The short suspense date will require your company to have concurrent activities and more than one path in the project network.

The trip should include one "free" day for the tour members, an opening or closing banquet, and arrangements to visit the appropriate tourist sites for the chosen area.

Travel to the initial destination should be by airline. Upon arrival, appropriate arrangements should be made for travel by bus, ferry, or train.

Assume a 40-hour work week for team members when not traveling.

Questions

The following are the minimum items to be included in your group project:

  1. Develop a project charter (see Lesson 3) in accordance with the content described in Section 4.1.3.1, PMBOK 5e. Your company has been hired by the travel agency. Essentially, you are a sub-contractor for this job. Roles:
    1. Project Sponsor: Course Instructor
    2. Project Manager: Group Leader
    3. Project Team Members: Remaining members of your group
  2. Develop a Stakeholder Register, Stakeholder Analysis, and Communication Plan (Lesson 4)
  3. Prepare a WBS with WBS dictionary (see Lesson 5)
  4. Prepare a Gantt chart project schedule (with dependencies) and identify the critical path (see Lesson 6).

Provide an answer to the question-"can the project be completed in 60 days?"
