CLASSMATE'S POST:

"A project is a temporary organization. We have a vision of a future state that we wish to achieve, and we need resources to do work to deliver it. So, we create a new organization within which those resources can work" (Turner, 2014).

While I was working in central financial planning & analysis I was tasked with researching, introducing and implementing Box for our team. Box is a cloud content management and file sharing tool. This project was unique to the organization and team; my team was the beta testers for expanding the organizations contract with Box. This was my first real solo assignment and I leveraged a lot of information from experienced teammates - some of which went against the implementation but strengthened my case for its use.

The work was transient, and the planning was done and presented to the team prior to changing anything on the share drive. Any movement of files directly impacted the entire team, so everyone had to be on the same page about the change. The presentation included the entire parent/child folder organization flow along with folder and system descriptions including a flow chart to file locations.

The objective and beneficial change of this project was for the team to have the ability to work more collaboratively - saving versions of files and the team could work in the same files at once provided we chose a gold copy. The share drive of the past was slow and caused a lot of sharing restrictions of information via email, i.e., size and security of files. Not only were files now easily accessible and systematically filed - there was a tremendous learning about what information we had as a team and where the team was performing duplicative work. While the success of the project ended in termination of the temporary organization, it also resulted in the formation of a new temporary organization focused on process improvement.
