information disseminationthe purpose of record

Information Dissemination

The purpose of record keeping is best served if information is timely disseminated. The employees are required to be informed on all health issues concerning them and this purpose is easily achieved by posting information and notices. The location of posting should be permanent and the one where notices are displayed routinely. Following should be displayed regularly.

  • The records of any steps taken by management for safety of workers in respect of hazardous materials and other risky practices should be accessible to employees on demand.
  • The summary sheet of all incidences of illness and injury as presented in Log sheet of format B must be displayed in the beginning of calendar year. This Log sheet must remain displayed for a period of one month.
  • Copies of safety rules as stipulated in industrial laws should be provided to any employee who demands it.
  • Rights and responsibilities of employees in respect of occupational health and injuries. The government agencies often print and publish posters in this context. Such posters must be displayed from time to time in common places like clubs, lunch rooms and work place.
  • The notices and citations received from government regulating agencies must be similarly displayed. A copy of notice relating to any safety violation should be displayed near the site of violation. Such notice must remain displayed for three days or until violation is corrected whichever is earlier.
