Case Study - Physical Layout Design for the Health Information Management (HIM) Department

Design the physical layout for the HIM department for a 250-bed acute care hospital. When designing the department, consider the equipment needs, the workflow, and the tasks involved.

The department has implemented an imaging system for scanning records upon discharge; however, it still retains 2 years of old records on the completed shelf. Records older than 2 years are stored on microfilm for access.

The department houses 2 main areas: the Physician's Incomplete/Research Room and the HIM Room.

The Physician's Room serves as an area for digital completion of patient records and dictating by telephone, as well as access to the Internet for purposes of research into knowledge-based healthcare information.

The specifications for both areas of the HIM Department are shown in Figure 7-3.

Equipment needed for each HIM employee includes, but not limited to the following:

1.      Desk with overhead file shelf

2.      Chair

3.      Computer

4.      Telephone

IV.             Equipment needed elsewhere in department includes, but not limited to the following:

-          Open file shelving units (stationary or mobile units)

-          1 Imaging System

-          1 Microfilm/Reader Printer

-          1 Copy Machine

-          2 Chairs for visitors near correspondence desk

-          1 Network printer in transcription

-          2 Network printers in main area

-          1 Printer for director

-          1 Printer for secretary

-          4 Computer workstations for Physician's Incomplete Room/Research Room

V.                Other Pertinent Information

-          Labeling: Identify each piece of equipment (legend or text labeling).

-          Title of Project: The floor plan should include facility and department name.

-          Offices: Include Private Office Areas for Director and Transcriptionist.

-          Scale: ¼ inch per 1 foot

-          Complete Shelf: Design area for 30 open shelf filing units. Units are 36 inches wide, 8 shelves high and 12 inches deep.

-          Aisle space: 36 inches
