Notice how the first paragraph features a reader-friendly list? Notice how the second paragraph is one looooong paragraph? Which would you prefer to read? Which paragraph do you find more welcoming? Which looks to be better organized? Which is more instructive?

Now, notice how with just a few tweaks one can convert that second paragraph into something more reader friendly. (Note, however, that I haven't corrected this memo's grammatical errors!):

1. Arrival

When the children first arrive, have them line up their backpacks against the wall.

• Then sit at the perpendicular wall.

• Have them count off then they can get up for free play.

o They must ask to go to the bathroom, get a drink and get a toy from the cabinet.

2. Discipline

Use your judgment when disciplining them.

• If they are arguing help them out.

• We have a hands-to-yourself policy.

3. Games

When it is time for an organized game have them clean up and sit against the wall.

• Take three options and then vote.

o Majority wins.

• Make sure to explain the game and rules before they start playing to avoid arguments.

4. Snack Time

Snack time is next so, have them go to the bathroom one girl and one boy at a time.

• Have them wash their hands and get a paper towel.

• They must sit in a circle and wait for everyone to come and sit for them to eat.

• When they are finished eating they must ask to be excused from the circle and go directly into quiet time.

5. Quiet Time

Quiet time is designed for homework and activities that are quiet and by themselves.

• There should be no talking.

o Once quiet time is over they may have free time and play with each other until their parents pick them up.

Wouldn't you agree that the revisions made to this memo greatly enhance not only its appearance but its reader friendliness, as well? Each version says precisely the same thing. While the first version mumbles, the second version sings.

Creating reader-friendly documents isn't rocket science. You already know how to do what I've outlined here. Now it's just a simple matter of doing it! You must keep this lesson in mind when completing the upcoming assignment. In fact, this lesson has specific practical application to the next assignment. And, I'll be looking to see that you have studied this lesson and incorporated it into your work.
