Change Proposal

Kudler Fine Foods is a local upscale specialty food store located in the San Diego metropolitan area. We pride ourselves at having the great domestic and imported products at every location. Kudler is especially known for their bakery and pastry products, fresh produce, fresh meat & seafood, condiments and packaged foods, and cheese and specialty dairy products.

Kudler does not have a purchasing department at any location. Although there is not a purchasing department, we do have standard purchasing procedures in place. I propose to implement a department designated for purchasing only. The purchasing department will procure the best price, quality, and delivery for all locations. The purchasing department will combine material for all locations when ordering supplies or product for suppliers. Keeping purchasing and inventory management in a separate department will ensure accurate record keeping and inventory management. This is also crucial when forecasting. Overall, the purchasing department will be instrumental in the supply chain management.

I will define and explain the dimensions of change in relation to the change I am proposing. The goal is to implement the change project by developing a strategy and manage closely by applying resources, systems, and culture to empower the organization to achieve the goals and objectives we want. By linking the four dimensions of change to a project management approach, we address the change process in an organized and methodical approach. This will help ensure that our performance goals and objectives are met.

In Kudler's case, I want a strategy that will promote change in our processes used now and in the past. I want to embrace a wide spectrum of practices, behaviors and values.

Resources are a key component in this proposed change. I want to use the resources that are readily available and knowledgeable of the current purchasing procedures. It is key to have qualified and coherent staff to support and participate in the change process. I will include the department managers that currently assist Kathy with what products need to be purchased. We want to find areas where we can eliminate processes that are more tedious than productive.

At Kudler, we know systems must include the processes that essentially help the goals and allow decisions in a timely manner. We want Kudler employees to adjust as easy as possible while implementing the change. We will try our best to have flexibility with the processes so we can handle risks of change in an efficient manner. This task will require excellent communication by the department managers. We must be aware of dilemmas that can and possibly will arise during the change.

Culture is the values and beliefs of an organization; the standards by which employees set priorities that enable them to make a judgment (John Wiley & Sons, 2008). Some examples of judgment are whether an order is acceptable or unacceptable, whether one customer is more important or less important than another, and whether an idea for a new product is attractive or unattractive. Employees at every level within an organization make these kinds of decisions.

Now we must focus on project management. Project management will aid Kudler in developing and implementing an efficient and productive purchasing department. Project management is vital for accomplishing a goal with time constraints. First, we will develop a plan to define what, where, when, and why.

Once a plan has been developed and approved, we will implement the new change on a trial basis but on terms set and agreed with by upper management. Implementation will consist of documentation of the steps in the change and who is responsible for each task. We want employees to have a sense of ownership in the change. The managers will have meeting and weekly and monthly reports to review with management. This will be our monitoring system. This will also assist in keeping the change in place by improving in the areas that are not working as planned.

I recommend the change to happen in short time frame as we have some good purchasing procedures to include. This will help get off to a good start. Success is my goal and with my plan, implementation, and monitoring systems, I am confident the change will be beneficial to Kudler internal and external customers.
