The executive-level managers at the Mayo Clinic are in consideration of adding voice recognition (VR) software to their current EHR. Jada Smith, the Director of HIM, is formulating an extensive report on the effect this would have on the department. She is proposing a feasibility study and subsequent RFP be completed. 

The initial part of the report includes evidence on VR including the projected workload of VR software and how it would be applied in the everyday EHR operations. It also contains its usage for the standard transcribed reports (discharge summaries, histories/physicals, operative, and consultation reports, etc.) in addition to physician progress notes, nursing care documentation, and other therapy documentation. Completed review of significant and current transcription workload, amount of staff with individual salary and benefits, supplies, and equipment is involved.

Costs are a key issue. The report identifies the cost of the software. It includes the upkeep (maintenance and upgrades), as well as hardware (additional microphones, monitors, etc.). Costs for training of users and quality evaluators are determined. Need for upgrading current staffing for documentation quality and validation plus technical support were also identified. VR projected costs for workload estimates for quality checks were figured. Some staff positions will not be upgrading, the Human Resources Department was consulted regarding the process of lay-offs for those individuals. Additional costs; project management and site visits, will be added to the proposal.
