Important clarification to the students

Task 2:

Part I. Preliminary Scope Statement.

Using the attached template, develop a preliminary Scope statement for the given Project Charter.

Part II. Work Breakdown Schedule (WBS)

Create a WBS for this project using MS Project. (See Attached template).

Task 3:

Project Objectives

- Reduce efforts to create an accurate schedule
- Ensure that all planned courses are scheduled
- Provide optimum schedule for students
- Involve instructor's preferences in scheduling process
- Make room assignments for each course scheduled based on course requirements (e.g. lab courses must use labs classrooms).

Current System

The current system is being handled by the department chair's using his brain memory, some reference sheets, and a magnetic board that contains class times, with magnets that contain course names, faculty member names, and room numbers.

The department chair first assigns classes based on students' demand and course sequencing. Once the schedule is set up, faculty member and room assignments are made, using the magnets. Once the schedule is finalized, the following information is transcribed into a spreadsheet.
1. Course Name
2. Section number
3. Days course is offered
4. Time course is offered
5. Room number (s)
6. Faculty member name
7. Special notes

The spreadsheet information is then sorted into various reports (e.g. by room, by faculty member, by course, etc.) and distributed to the faculty members for review and comments. Based on faculty comments and changes dictated by other factors (e.g. budget constraints, enrollment changes, etc.), the magnets are rearranged to meet all of the requirements and the spreadsheet is updated.

Finally, the information is input into the online KADs system to start semester registration.

Proposed System

The proposed system is intended to automate the process described above and include a module that will allow faculty members to input class preferences including:
- Day and time preferences
- Courses the faculty member
1. Wants to teach
2. Able to teach
3. Not comfortable teaching

The KADs system will not allow for automated entry of schedule information at this time. The data for updating KADs may be obtained from the spreadsheet.
