Assessment 1 - Project

This assessment project is to be completed in addition to the learning and assessment activities you complete in class. The project is designed to assess the knowledge and skills you have to execute tasks associated with the recruitment cycle.
If you are not sure about any aspect of the assessment or would like to discuss your particular needs, please speak to your trainer. Your trainer will tell you the date you need to submit your assignment.

All parts of the project will be given to you at the same time. You need to complete all parts and submit them together by the due date. This will be in the last week of classes for the unit.

This project assignment is to be completed using the " International Hotel Group" case study. It is included in the "Additional Information" section.

The checklist and scope of submission table will identify the records that you are required to prepare and submit (as a single submission).
Your assignment must be typed (in 12 point type on A4 paper) and attached to the front page of this assessment document, which you need to complete as an Assessment Cover Page.

Make sure you keep a copy of your assignment before you hand it in to your trainer.
Part 1.

In this part of the Project you are required to recruit for a range of positions for an organisation .This project will be completed on the basis of the case study provided, "The International Hotel Group", in the additional information at the end. You may use the templates provided in the additional information section.

Your trainer will divide you in groups and allocate you a role.

You must submit evidence as per the 'Checklist and Scope of Submission' given below

a.Task 1

You are working as Recruitment Manager of The International Hotel Group. The position of the Customer Service Manager will soon be vacant due to the current manager retiring in three months time.

a) You are required to meet with the Senior Management and

o obtain approval to fill the position and advertise
o Clarify timelines
o Identify requirements for appointment to the position of Customer Service Manager

b) Write a job description, using the template provided. The job description must comply with the legislative requirements and requirements of diverse workforce. It must include:

o Job title
o Evidence of approval
o Summary statement
o Detailed tasks and responsibilities
o Required qualifications and personal characteristics
o Reporting relationships
o Conditions of employment/service

c) Write an advertisement for the job. The advertisement must be suitable for online placement and newspaper , must meet the organisations requirement and include:

o Job title
o Location
o Brief job description
o Reporting relationship
o Brief description of the organisation
o Minimum requirements (experience/ qualifications)
o Any unusual features of the job (travel, physical requirements)
o Contact name/closing date/selection criteria
o Compliance with EEO , WHS, and anti - discrimination legislation

Your assessor and team members will act as your senior managers
For this task you are required to develop an action plan, list all the steps to be taken to plan recruitment activities using the information gathered in task 1.

a) Develop a schedule for planning activities. In your schedule :

o Identify all steps required to be undertaken for the recruitment process
o Sort them by timeframe
o Document in the action plan (template provided). The action plan must follow a logical progression.
o Include the selection panel

b) Consult with your senior managers (your assessor or team mates in this case) and prepare an interview guide :

Develop interview questions for the interview guide (note - the legislation restrictions need to be considered). The questions must be based on:

o The Work history
o Education and training
o Personality, motivation and character
o Questions must not breach EEO or anti - discrimination legislation
o Method of conducting interviews
o Making selection decisions

c) Shortlist the applicants based on the selection criteria specified in the position description and advertisement

d) Prepare a schedule of interview and advise relevant personnel of times, dates and venues

Part 2.

Using the information gathered in part 1 you are now required to support the selection process.

You are going to role-play an interview of selected candidates (at least 2).

Your trainer will divide the class in groups and allocate you to a group to work as a team. You will be allocated a particular role.

Task 1

Prepare the environment for the interview - chairs facing each other. Your team members will be your candidates.

• Welcome and greet each candidate, conduct interviews with at least 2 (two) shortlisted applicants and assess each applicant against selection criteria. Ask questions as outlined in your interview guide. Close the interview and advise applicants of next steps.

• Discuss assessment of the interviewed candidates with selection panel and decide on preferred candidate. (your trainer /assessor and some of your team members can be your selection panel members)

• Ensure that the system is free from any biases and that the preferred applicant is the most suitable applicant for the position.

• Prepare a set of questions to ask referees & Contact the referees to gather feedback on suitability of applicant for the vacant position. (You may wish to use the sample reference check form included in additional information section)

a. Task 2

Continuing with your role-play from task 1 you are now required to do the following:

• Prepare a selection report for senior management for appointment of selected candidate.

• Advise unsuccessful applicants of outcomes of the interview process & Provide feedback to at least one applicant to explain why they were unsuccessful. (you may choose to do this via email or phone)

• Advise successful applicant and managers and.develop a letter of offer. In the letter of offer include:

o Employee's name
o Nature of job
o Starting date
o Remuneration as a total package
o Other benefits, such as bonus etc.
o Annual leave, sick leave, maternity/paternity leave
o Terms and conditions of resignation/ termination, notice period

• Develop an induction checklist for the induction of the successful candidate. Induction may include initial orientation of new employee (your team mate in this case). You must cover the following as part of the induction:

o Orientation to local work
o Detailed induction to work area
o WHS checklists completed and correctly filed
o Job role and performance expectations
